How we use personal information

This notice explains what personal information Ecoformix Ltd holds in its retail security and shopfitting work, why we hold it, who we share it with, and the choices and rights you have. Most of the people we deal with are staff at the businesses we supply, so most of the information is work contact details.

Who we are

Ecoformix Ltd is responsible for your personal information as its controller. We are registered in Northern Ireland, company number NI712157, with our registered office at 48 Bachelors Walk, Lisburn, BT28 1XN.

What we collect

• When you contact us: your name, work email address, job title and company, and whatever you tell us in your message.
• When your business is a client: the work contact details of the people we deal with, the addresses of the stores we supply or fit out, delivery and site access arrangements, and records of quotes, orders, deliveries and installations.
• When we fit out a store: the names of the people we arrange access with or hand over to on site, where we need them for our records.

We do not need, and do not ask for, sensitive information such as health details.

This website

We do not use cookies, analytics or advertising trackers on this website. Our hosting provider handles basic technical information, such as your IP address, to deliver the pages and protect the site from abuse.

Why we use it, and our legal basis

• To answer enquiries and prepare quotes. This is in our legitimate interest in responding to businesses that contact us, or is a step towards a contract.
• To supply, deliver and fit what your business orders, and to run the account. This is needed for our contract with your business, and is in our legitimate interest in dealing with the people who manage that contract.
• To keep accounting and tax records. The law requires us to.
• To tell your business about products or services that may be useful to it. This is in our legitimate interest. You can ask us to stop at any time and we will.
• To keep our systems and this website secure. This is in our legitimate interest.

We do not sell personal information, and we do not buy contact lists.

Who we share it with

We share information only where it is needed to do the work:

• delivery and courier companies, to get orders to your stores;
• people who work with us on installations, where they need site and contact details;
• the providers of our email, file storage and website hosting;
• our accountants and professional advisers;
• HMRC and other authorities, where the law requires it.

Some of these providers store information outside the UK. Where they do, we rely on the protections UK data protection law requires, such as the UK government's adequacy regulations or approved contract terms.

How long we keep it

• Enquiries that do not lead to work: up to two years from our last contact.
• Client records, including contact details: while we work with your business, and for six years after that, in case of questions or claims.
• Accounting records: six years from the end of the financial year they relate to.

Your rights

You can ask us to:

• give you a copy of the personal information we hold about you;
• correct anything that is wrong;
• delete your information, or restrict how we use it, where the law allows;
• stop using it for a purpose based on our legitimate interests, including stopping any marketing.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or by phone on 0303 123 1113.

Changes to this notice

We will update this notice when our practices change, and change the date at the top.
